General Terms and Conditions


Depending on government-imposed restrictions, we may be required to modify these terms and conditions.


These conditions apply to all sales concluded directly with CAP FREDELLE SARL - Bourel – 46260 VARAIRE, which operates the L'ESCALE DE VARAIRE and MAISON AUTHENTIQUE DU QUERCY holiday cottages, either as furnished rentals or bed and breakfast accommodations. The client acknowledges having the legal capacity to enter into a contract and purchase the services of the holiday cottage. To be of legal age, not to be under guardianship or conservatorship… Making a reservation implies full and unreserved acceptance of these terms and conditions of sale and their provisions. Reservations made through an online platform are governed by the rules of that platform.

These terms and conditions are available to customers on the Facebook page of the gîte accessible at the following address https://www.facebook.com/LescaledeVaraire, by email with the quote or credit card receipt or upon simple request from the customer.

① Prices

Prices are quoted in Euros. VAT is always included. The prices shown only include the services specifically mentioned in the booking. Additional services and/or personal expenses (extras) incurred by the guest during their stay will be added to this price upon invoicing. Prices displayed on various communication materials are subject to change without notice, and only the price stipulated in the booking confirmation is binding. Prices may also be modified in the event of legislative and/or regulatory changes that could lead to price variations (changes in VAT rates, new taxes, etc.). For Pilgrim clients, and upon presentation of a Créantial, Credential, or Travel Pass, overnight or half-board rates are per bed or per room for one or two people and for the number of people indicated in the booking. They include the provision of a fitted sheet, pillowcase, and blanket, plus tourist tax at the current rate. For other clients, overnight or half-board rates are per bed or per room for one or two people and for the number of people indicated in the booking. They include the provision of a fitted sheet, pillowcase, flat sheet, blanket, tourist tax will be charged in addition per night and per adult for stays without intermediary.

The MAISON 1765 or Authentique Maison du Quercy and the Chambre Four à Pain are subject to specific service charges:

  • House Cleaning 1765: Cleaning for long stays over 3 days, price €200 in addition to the rental price / Cleaning for short stays of 3 days or less, price €120 in addition to the rental price

  • Cleaning of the Bread Oven Room: €15/stay

  • Heating for House 1765: oil-fired central heating €5/day, wood for the wood stove €3/day (rate applicable from October 1st to April 30th)

  • Heating for Bread Oven Room: Oil-fired central heating €3/day, wood for the wood stove €3/day (rate applicable from October 1st to April 30th)

  • Caution Maison 1765: €500 in cash or credit card imprint to be paid upon arrival of the stay and returned no later than 1 day after departure by bank transfer or by waiving the credit card imprint.

② Complaints

Any complaint must be made to SARL CAP FREDELLE within 15 days from the date of stay OR via the booking platform. Any dispute, claim, or litigation relating to the terms and conditions of booking a stay, bed, or room is subject to French law. If a satisfactory response is not received, or if no response is received within 60 days of the date the claim was received, the customer may contact the Tourism and Travel Mediator free of charge. Contact details and procedures for contacting the mediator are available on their website: www.mtv.travel

③ Reservations, Deposit & Payment Methods

Reservations can be made:

All reservations require a deposit, which will be:

• By credit card: upon booking, the customer will receive a link for credit card payment. A receipt can be sent to the customer by email upon request.

Attention : Providing your bank card details constitutes authorization to collect deposits or flat-rate fees due in the event of cancellation, date change or shortened stay, theft or damage to the room(s), by bank check (which will be cashed), bank transfer or via the PayPal platform.

The amount of the deposit is determined according to the following rules:

• 30% discount for a one-night stay (overnight stay and/or half-board)

• The cost of 2 nights for a stay of 4 to 7 nights

• 50% of the stay for stays of more than 7 nights

• For groups, the amount of the deposit and the cancellation conditions will be determined according to the specifics of the group (number of people, length of stay, package…) and after written agreement between the parties.

Direct bookings are only considered firm and final upon receipt of the deposit and confirmation of the booking by us via email or text message. All other bookings made through a platform are subject to the voucher issued at the time of booking.

The balance of your stay will be paid on-site to SARL CAP FREDELLE, which accepts the following payment methods: cash, PayPal, checks (for reservations only), credit cards, and bank transfer. For long-term rentals, payment is due weekly.

④ Modifying a reservation

A reservation can be modified free of charge up to 2 days before the arrival date for pilgrims, and 5 days for other hikers staying in dormitories, or according to the terms and conditions of the booking platform used. Any reservation modification must be requested by email or telephone. The reservation modification is only effective after receipt of confirmation from the Gîte « L'ESCALE DE VARAIRE ».

Requests for modifications may, where applicable, result in the application of the interruption and cancellation conditions (see sections 5 and 6). The client will not be entitled to a refund or compensation.

For all clients other than pilgrims, a €50 rescheduling fee will be charged for any changes to their stay made within 5 days of their arrival. The duration of the new stay must be at least the same as the originally booked stay. Pilgrims are not charged a rescheduling fee.

⑤ Conditions for interruption of stay

For any interruption of stay, other than pilgrim, not reported 48 hours before the scheduled departure date, the value of one night will be charged by the host as compensation. If the customer shortens their reservation during their stay, they remain liable for the full amount of the nights booked.

4. Cancellation Conditions

All reservation cancellations must be requested by email or telephone. A reservation cancellation is only firm and final after confirmation of the cancellation by the gîte "L'ESCALE DE VARAIRE" - SARL CAP FREDELLE.

The date of receipt of the cancellation request (by email, mail, telephone) is the date used for the cancellation.

-Pilgrim clients can cancel their reservation no later than 3pm and 48 hours before their arrival, refundable upon presentation of supporting documents (such as taxi receipt, train ticket, medical certificate, etc.) for any reservation made directly by telephone, email or mail, with "L'ESCALE DE VARAIRE" - SARL CAP FREDELLE. In this case, the deposit will be refunded up to 50% of the amounts received by the company. For those without supporting documentation, the deposit paid becomes a credit note valid for 12 months from the date of issue.

For bookings made through a booking platform such as ELLOHA, Cybevasion, Booking, Airbnb, and their subsidiaries, or a travel operator, the customer must cancel via the website through which they made the booking. The cancellation policy applicable to these platforms is specific to the intermediary and may differ from that of the "L'ESCALE DE VARAIRE" gîte - SARL CAP FREDELLE when booked directly.

-Non-pilgrim clients, hikers and other groups detailed in the gîte's rates, can cancel their reservation no later than 5 days before their arrival, refundable upon presentation of supporting documents (such as taxi receipt, train ticket, medical certificate, etc.) For all reservations made directly by telephone, email, or mail to the gîte "L'ESCALE DE VARAIRE" - SARL CAP FREDELLE, the deposit paid will become a credit note valid for one year from the date of payment or will be fully retained by SARL CAP FREDELLE if no supporting documentation is provided.

In case of no-show, the entire night or nights will be charged or billed.

For bookings made through a booking platform such as ELLOHA, Cybevasion, Booking, Airbnb, and their subsidiaries, or a travel operator, the customer must cancel through the website where they made the booking. The cancellation policy applicable to this platform is specific to the intermediary and may differ from that of the "L'ESCALE DE VARAIRE" guesthouse when booking directly.

⑦ Exclusions from the application of the cancellation conditions:

• Death of a family member: A death certificate and proof of kinship must be provided.

• Hospitalization of the client or an ascendant or descendant: a hospital admission certificate must be provided.

• Major damage to the client's main residence (fire, destruction): proof to be provided.

⑧ Non-cancellable/non-refundable stays via Booking:

Full payment for the stay is required at the time of booking. This stay is non-cancellable, non-refundable, non-modifiable, and non-exchangeable. (No changes to dates, duration, or number of participants are possible).

Warning: providing your bank card details constitutes authorization to debit the deposit or flat-rate fees due in case of cancellation, change of date or shortened stay, theft or damage to the room(s).

⑨ Force majeure

In the event of exceptional circumstances or force majeure, CAP FREDELLE SARL reserves the right to accommodate clients, partially or fully, in a nearby hotel or other accommodation of equivalent category at no extra cost. The costs associated with the transfer will be borne by the guesthouse. Whether accepted or refused by the client, this alternative accommodation solution will not, under any circumstances, give rise to the payment of any compensation.

⑩ Data Processing & Freedoms

In accordance with French law 78-17, known as the Data Protection Act, customers are hereby informed that their reservation is subject to computerized processing of personal data. Users have the right to access and rectify the data entered, which can be exercised by contacting the head office: SARL CAP FREDELLE ""L'ESCALE DE VARAIRE"" – Bourel – 46260 VARAIRE, France. It is specified that this information is not shared with third parties. The gîte offers Wi-Fi internet access. The user client undertakes that the computer resources made available to him will not be used in any way for the purpose of reproduction, representation, making available or communication to the public of works or objects protected by copyright, by a related right such as texts, images, photographs, musical works, audiovisual works, software and video games, without the authorization of the holders of the rights provided for in Books I and II of the Intellectual Property Code when such authorization is required.

⓫ Applicable Law

These General Terms and Conditions of Sale are governed by French law. This applies to both substantive and procedural rules. Any disputes will fall under the exclusive jurisdiction of the French courts.
